ProsperStack, a SaaS platform focused on churn reduction, brought us in toward the end of 2023 to enhance their HubSpot workflow automation. Their challenge? Leads were entering the system but weren’t progressing efficiently through the funnel, leading to missed revenue opportunities.

We stepped in to optimize their lead nurture engine using customer activity data. By leveraging real-time behavioral insights, we designed automated workflows that enrolled leads in targeted email sequences, ensuring that the right message reached the right lead at the right time.

The goal? To systematically progress leads from marketing-qualified (MQL) to sales-ready and seamlessly hand them off to the sales team.

To turn their stagnant lead funnel into a dynamic, activity-driven nurture engine, we restructured ProsperStack’s HubSpot workflows to ensure that each lead received the right level of engagement based on their actions. This meant moving away from static sequences and building a more intelligent, behavior-triggered automation system.

  • Lead Enrollment Optimization – We restructured how top-of-funnel leads were categorized and enrolled in workflows, ensuring only engaged contacts received nurture sequences.
  • Behavior-Driven Email Sequences – Instead of generic drip campaigns, we built intent-based email workflows that triggered based on customer actions (e.g., site visits, demo requests, and content downloads).
  • Progressive Lead Qualification – We designed workflows that automatically moved leads from one stage to the next based on engagement signals, ensuring that only sales-ready leads were passed to the sales team.
  • Workflow Efficiency Upgrades – We cleaned up redundant automations, consolidated fragmented workflows, and ensured a seamless flow from marketing to sales.

Project results

The impact of these automation updates was immediate. By refining the nurture engine and basing email engagement on real-time customer activity, we increased lead-to-sales conversion rates significantly, ensuring that more leads progressed through the funnel instead of dropping off. Email engagement rates improved, with higher open and click-through rates due to better-targeted messaging.
