Papers, a SaaS platform, brought us in as strategic consultants to build the full automation strategy for their customer and user communication process. Rather than just implementing workflows, our role was to design an entire lifecycle strategy that would guide trial users from sign-up to long-term retention.

Our focus was on leveraging a customer engagement platform (CEP) to ensure that every user received the right communication at the right time, maximizing conversion rates and customer lifetime value. The strategy centered around three key areas:

  • Recapturing abandoned sign-ups (users who shared their information but never completed a free account setup).
  • Converting free trial users into paying customers across different pricing tiers.
  • Driving adoption and retention to increase customer lifetime value.

We built the full strategy and automation engine, then handed it off to the Papers team for implementation.

Execution

Papers needed more than just email sequences—they needed a full-funnel automation engine that could guide users through the entire journey, from initial interest to active, paying customers. Our approach focused on designing an automation strategy that could intelligently move users through the funnel based on real-time engagement and behavior.

  • Abandoned sign-up recovery – We designed a multi-touch email sequence targeting users who shared their information but never completed their free account setup, using behavior-based triggers to re-engage them.
  • Free-to-paid conversion – We built dynamic onboarding and upsell sequences that nurtured trial users toward paid plans, with messaging personalized to user behavior and engagement levels.
  • Customer adoption and retention – Using event-driven automation, we mapped out key engagement milestones and structured a strategy that encouraged users to take the right actions at the right time, reinforcing product value and increasing retention.
  • Scalable automation engine – Rather than static workflows, we created a scalable automation architecture inside the CEP, allowing Papers to continuously refine and optimize their communication as they grow.

Project results

By implementing a data-driven, event-triggered automation strategy, Papers now has a fully mapped-out customer journey that nurtures users from sign-up through retention. Their team can now recover lost sign-ups, improve trial-to-paid conversion rates, and drive long-term product adoption—all through a structured automation engine. With a scalable framework in place, they can easily iterate and expand as their customer base grows.
